Project Manager Administrator

REPORTS TO: Project Director

JOB PURPOSE:

The Project Manager Administrator is a support position in MillerClapperton’s Project Management segment. The primary purpose of a Project Manager Administrator is to enhance the segment by assisting Project Managers with administrative tasks that pertain to managing MillerClapperton projects while also supporting the segment with scheduling, coordination, and recruiting tasks.

RESPONSIBILITIES & ESSENTIAL DUTIES:

  • Perform project start up tasks that include, but are not limited to, the following:
       – Scheduling of kickoff meetings
       – Creating necessary electronic and physical project folders
       – Creating then distributing “introduction” letters to the customer
       – Filing the ‘Notice to Owner’
       – Confirming the project-specific billing information, contact information, and shipping information
  • Create project-specific submittal packages that include, but are not limited to, the
    following:
       – Current product documentation
       – Relevant testing reports
       – Color samples
       – Approval stickers
       – Any other project-specific requirements for the approval of the assigned
       – Project Manager prior to their delivery
  • Assist the Project Team in any project-specific tasks that include, but are not
    limited to, the following:
       – Highlighting electronic drawings
       – Scanning and/or printing project drawings
       – Creating transmittals
       – Creating or managing LEED documentation
       – Creating project release coversheets
       – Entering information into MillerClapperton databases
  • Assist the Project Team with change orders by monitoring pending change orders, confirming the appropriate signatures, and notifying Finance & Administration to make the proper adjustments in the financial software.
  • Assist the Project Team with a project’s close-out tasks that include, but are not limited to, preparing all project close-out documentation, preparing the close-out checklist, and performing any project close-out tasks.
  • Perform the tasks listed on the Weekly Project Management Administrator checklist.
  • When needed, assist the Finance & Administration segment with monthly billings and any other financial, human resource, or employee-related tasks.
  • Maintain and update spreadsheets like balance, major material, and PMSU tracker as needed.
  • Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings.
  • Perform the first review of major material requisitions and back-check with vendor Purchase Order.
  • Compose the initial draft of ‘Notice to Customer’ letters as requested.
  • Request and provide a Certificate of Insurance as necessary.
  • Complete bonding-related tasks as needed.
  • Assist with tasks related to Government work.
  • Organize and maintain a centralized document library for all digitized PM forms.

REQUIRED SKILLS & ABILITIES:

  • Must possess a desire to learn aspects of construction and the subcontracting business.
  • Must possess the ability to interact and communicate effectively (both written and oral) and convey accurate information to the MillerClapperton customer (when appropriate), MillerClapperton Project Team, MillerClapperton Segment Managers and Senior Leadership Team.
  • Must be able to prioritize and complete multiple tasks that may vary in urgency to multiple members of the Project Team.
  • Must be an excellent creative thinker with the ability to be proactive and selfmotivating.
  • Must maintain absolute confidentiality at all times.
  • Must convey a sense of urgency, persistence, and commitment.

WORK CONTEXT:

  • High School or GED equivalency is required.
  • Construction experience is preferred. Background and experience in architecture, engineering, or construction is preferred.
  • Background and experience in exterior cladding and/or other building products is preferred.

EDUCATION & EXPERIENCE:

  • High School or GED equivalency is required.
  • Construction experience is required.
  • Being bilingual in English and Spanish is a plus.
