Project Accounting Administrator

Role Summary

The Project Accounting Administrator is a support role within MillerClapperton’s Finance & Administration team. This position provides project-related accounting and administrative support by assisting with billing, documentation, compliance tracking, cost coordination, and project close-out activities. The role works closely with the Director of Finance, Project Managers, and Senior Accounting Specialist to ensure accuratetimely, and organized financial support for active projects. This position is not a senior or CPA-track accounting role. 

Primary Responsibilities
  • Process monthly project billings and prepare all required supporting documentation. 
  • Distribute project billings to customers and ensure appropriate internal approvals are obtained. 
  • Assist with accounts receivable activities, including collections support and follow-up. 
  • Maintain and manage the lien waiver tracking system. 
  • Manage the Estimate Verification Process in coordination with internal teams. 
  • Process and track bond requests, certificates of insurance, and W-9/W-4 requests. 
  • Manage and support project-specific programs such as OCIP and CCIP reporting. 
  • Assist with tracking project costs and ensuring proper cost coding across all projects. 
  • Process and manage change orders, including both internal changes and customer-issued change orders. 
  • Support the financial components of project close-out activities. 
  • Provide project-related administrative support to the Director of Finance, Senior Accounting Specialist, and Project Managers as needed. 
Qualifications
  • High School diploma or GED required.  
  • Associate’s or Bachelor’s degree in Accounting or a related field preferred, or a minimum of five (5) years of relevant accounting or bookkeeping experience. 
  • General bookkeeping experience strongly preferred. 
  • Construction industry experience is a plus. 
  • Strong attention to detail with a high level of accuracy. 
  • Ability to prioritize and manage multiple tasks in a fast-paced environment. 
  • Professional verbal and written communication skills. 
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook. 
  • Ability to learn and adapt to new systems and software.
